Front of House & Office Coordination:
• Manage and host the reception area, greeting clients and visitors professionally
• Answer and manage incoming office calls and enquiries
• Ensure the office remains tidy, organised, and fully operational
• Manage office supplies, snacks, and general office inventory
• Coordinate onboarding logistics for new staff members
Executive Assistant Support:
• Provide dedicated EA support to the CEO and Founder
• Schedule meetings and manage calendars
• Coordinate travel arrangements and related administration
• Assist with general business and personal administrative tasks as required
Client Administration & Reporting:
• Manage private client administration for the Dubai office
• Prepare invoices and track deposits/payments
• Handle customer service queries professionally and efficiently
• Produce weekly sales reports for management review
Events & Culture:
• Organise monthly team socials and end-of-month events
• Coordinate company celebrations including Christmas parties and team gatherings
• Support the planning and execution of company events
Requirements:
• Previous experience in Office Management, Executive Assistant, or Administrative roles
• Excellent communication and interpersonal skills
• Professional, confident, and client-facing demeanour
• Strong organisational skills with excellent attention to detail
• Ability to manage multiple priorities in a fast-paced environment
• Proficient in Microsoft Office and general admin systems
• Positive, proactive, and team-oriented attitude.
